Complaints Escalation Process

Complaints procedure

We are committed to resolving any concerns you may have as quickly and efficiently as possible. Please follow the steps below to ensure your complaint reaches the appropriate person:

  1. Initial Contact
    • If your complaint is sales-related, please speak directly with the Sales Executive you dealt with.
    • If your concern is regarding after-sales or servicing, please contact our Service Team
  2. Escalation to Management
    • If your issue is not resolved at the first point of contact, it will be escalated to the relevant Sales Manager or Service Manager. Please request this escalation should you not be satisfied with an outcome provided by their team.
  3. Final Escalation
    • Should the matter remain unresolved after management review, it will be referred to our Customer Relations Manager, who will conduct a full independent investigation and discuss the matter with our board of Directors, with the aim to bring the matter to a satisfactory resolution.

Spinney endeavours to resolve your complaint as soon as possible however; this will depend on its complexity. Any complaints submitted online will be assessed and passed to the relevant person to handle in line with the above process.

Whilst we appreciate situations can lead to out of character behaviour, we ask that you always treat our staff with respect. Abusive behaviour will not be tolerated and may result in delays to be caused.

Frequently asked questions

Spinney is not currently part of an ADR scheme, as most ADR schemes are unable to support with the habitational area of a motorhome or caravan. This is something we are currently reviewing.

You can send your concerns to our registered business address: Spinney Cheshire, Knutsford Road, Cranage, Cheshire, CW4 8HJ. Any complaints received via this method will be assessed in line with complaints procedure and passed to the correct person.

Yes, all manufacturers’ have customer service teams. However, they may well direct you back to us as your selling dealership depending on the nature of the complaint.

In all instances firstly raise the complaint direct with ourselves under the above procedure. If you feel like the complaint has not created a satisfactory outcome, you can then escalate to your chosen finance provider who will discuss directly with Spinney.

Once our Customer Relations Manager has issued their final response, your complaint will not be considered any further, unless any new evidence comes to light. Our Customer Relations Manager works independently to any branch and ensures the complaint is fully investigated independently, all findings are discussed with Directors. If you remain unsatisfied at this stage, you may wish to seek legal advice.

Directors oversee the business at a strategic level. Day-to-day issues, whether sales or service related, are best handled by the teams directly responsible. This allows for faster, more informed resolutions. Sales Executives, Service Advisors, and their Managers are trained and empowered to resolve customer concerns quickly and efficiently. They have direct access to the systems, staff, and resources involved in your case. If every issue by passed the team and went straight to a director, it would delay resolutions. The structured process ensures your concern is escalated appropriately and handled by the right level at the right time. Directors have weekly reviews with the teams.
